Privacy Policy
The short version. The club keeps the information it needs to run a membership organization: who you are, how to reach you, what you have paid, and the dogs and results you have recorded with us. We do not sell it. There are no advertising trackers on the site. Card details go straight to Stripe and never touch our servers. The member directory shows other members only what your household has chosen to share; none of it is on the public site.
1. What we collect
- Membership record: your name, postal address, email, phone numbers, membership type, join date, sponsor, dues history and whether the membership is current. For a junior member, date of birth, because membership classes depend on age.
- Login: a username, and a one-way hash of your password. We never keep the password itself and nobody at the club can read it.
- Purchases: what you bought, the amount, the name and email you gave at checkout, and a shipping address when something is posted. Stripe gives us a reference for the payment, not the card number.
- Applications and nominations: what you enter on a membership application, a futurity or maturity nomination, an entry, an advertisement or a photo contest form.
- Registry and pedigree: dogs, titles, awards, parents, owners and breeders, as recorded by the club's Records and Pedigree committees. Much of this has been published by the club for decades.
- Operational records: the date, time and network address of each sign-in attempt, and a log of changes made by club officers and volunteers on the administration screens, kept so that mistakes can be traced and undone.
2. Where it comes from
From you, when you join, renew, buy or submit a form; from the club's existing records, which were moved to this site when it launched; and from show and field results and American Kennel Club records, for the registry.
3. How we use it
- To run the club: membership, dues, the magazine, elections, events and the registries.
- To send you club communications: renewal notices, the magazine, announcements, and the replies to anything you send us. The club does not send marketing for anyone else.
- To take payments and send receipts.
- To keep the site secure and find out what went wrong when something does.
4. Who sees it
- Other members see the member directory in the members' area. Your household decides, on its profile page, whether it is listed at all and whether its address, phone and email are shown; a household that has not chosen to share them is not shown with them. The current and past membership directories are a benefit of membership and carry the contact details members gave for them. None of this is available to non-members, and using it for anything other than club purposes is against the Terms of Use.
- Club officers and volunteers see what their duty needs: the Executive Secretary sees membership records, the Treasurer sees payments, the Records Committee sees the registry, and so on. Access is granted per duty and every change they make is logged.
- Service providers that process data for us: Stripe (payments), Microsoft 365 (the club's email), DigitalOcean (hosting, in the United States). Each one sees only what its job needs.
- The public sees the public site: officers and contacts, the breed material, the registry lookups that the club has always published, and nothing from the members' area.
- We do not sell or rent personal information, and we do not share it with anyone else unless the law requires it or you ask us to.
5. Cookies and tracking
The site sets the cookies it needs to keep you signed in and to remember a basket and your time zone. There are no advertising cookies and no third-party analytics or tracking scripts. The sign-in pages load fonts from Google Fonts and scripts from public content networks, which see your browser's request for those files in the ordinary way.
6. Children
Logins are for adult members. The club holds a junior member's name, date of birth and the household's contact details because the parent or guardian supplied them with the membership, and uses them only for club purposes. A parent or guardian may ask us to see, correct or remove a junior's information.
7. Keeping it safe
The site is served over an encrypted connection. Passwords are stored only as one-way hashes. Administrative access is limited by duty and logged. Backups are kept encrypted and in the custody of club officers. No system is perfectly secure, and if we learn of a breach that affects you we will tell you.
8. How long we keep it
Membership and registry records are the club's history, and the club keeps them. Payment records are kept as long as accounting and tax rules require. Sign-in records are kept for a limited time for security. A lapsed member's record stays on file so that rejoining is simple; you can ask us to remove contact details you no longer want held.
9. Your choices
- You can see and correct your own contact details in the members' area, or by asking the Executive Secretary.
- You choose, on your profile page, whether your household appears in the member directory and which of its address, phone and email other members see.
- You can ask what we hold about you, ask for a correction, or ask for contact details to be removed, by writing to the Executive Secretary. We will answer within 30 days.
- You can choose not to hold a login; membership does not require one.
10. Changes
The club may change this policy at any time by publishing a new version here with a new version number and date. Continued use of the site after a change is agreement to it.
11. Contact
Privacy questions go to the Executive Secretary, whose details are on the Contact page. Sign-in trouble: Login Support.
